Scheduling Policy
We honor your commitment to therapy and appreciate your partnership in managing your appointments. As active participants in your healing journey, we understand that life unfolds in unexpected ways, and schedules sometimes need to change.
Our goal is to balance flexibility with consistency, working collaboratively to find solutions when last-minute changes arise, while maintaining the quality of care for everyone in our practice. We've developed the following policies to support this balance.
Rescheduling/Cancelling:
For cancellations or reschedules, email support@venusandlegacy.com with at least 24 hours' notice. We will prioritize finding another time within the same week, if available. Note that email is the only accepted method for schedule changes.
Reschedules or cancellations outside of this timeframe, as well as missed sessions, will incur the full session fee.
Late Arrival:
We offer a 15-minute grace period for all sessions.
When you arrive within the grace period, we will proceed with the session and end at the originally scheduled time. The full session fee will still apply.
If you're unable to join within the 15-minute grace period, we typically consider the session missed and the full fee applies. If you're experiencing consistent challenges with session timing, let's discuss accommodations that might better support your healing journey while respecting everyone's time.
Payment Policy
Payment details are collected during the onboarding process, and the card on file will be charged at the end of each session. Clients are responsible for keeping their payment information up-to-date in the client portal. Information on how to update payment details is provided in your welcome email.
Refund Policy
Therapy is a personal journey, and sometimes things may change along the way. While sessions are non-refundable, we're committed to ensuring you receive value from our work together. If you ever have concerns or questions about your therapy or progress, we encourage you to share them during your sessions. We are committed to making sure your experience is supportive, and are happy to help work through any issues you might be facing, where we can.
Confidentiality & Privacy Policy
We are committed to maintaining the confidentiality of all information shared during therapy sessions. Your personal information, including any details about your health or well-being, will not be shared with anyone outside of our sessions without your written consent, except in specific circumstances required by law, such as:
If there is a risk of harm to yourself or others.
In cases of child abuse or neglect.
When required by law, such as subpoenas or court orders.
We respect that privacy and disclosure have different meanings across cultures, identities, and communities. We honor your boundaries and recognize the historical harm that medical and mental health systems have caused to marginalized communities. We are committed to culturally responsive care that centers your autonomy and agency over your information.
We use secure, encrypted platforms for storing and transmitting your information to protect your privacy. Any information shared via email or other communication platforms will also be handled securely*. If you have any concerns about privacy or confidentiality, please discuss them with Josie during your sessions.
Emergency Services Disclaimer
While we don't provide crisis services, we do care about your wellbeing between sessions and will work with you to develop appropriate self-care strategies.

Therapy is a collaborative process. We are here to support you during your scheduled sessions, but for urgent matters, we recommend reaching out to specialized services designed for immediate assistance.
Technology & Communication Disclaimer*
Therapy sessions are conducted via secure video platforms, prioritizing both quality and confidentiality. While we take all necessary precautions to ensure smooth connections and privacy, it's important to note that no online platform is 100% secure. Technology sometimes has its moments! By agreeing to participate in remote therapy, you acknowledge the inherent risks of using online technology and accept that we will do our best to minimize these risks.
If technical difficulties arise, we'll work together to resolve them promptly or reschedule if needed.
For any communication between sessions (i.e. email), please be aware that while we do our best to protect your privacy, these forms of communication are not fully secure. Sensitive topics should be discussed in therapy sessions, and if you have concerns about privacy, we can discuss alternative methods of communication.
We recognize that everyone's relationship with technology varies, regardless of background. Some clients prefer specific platforms or may need adjustments due to travel, work demands, or personal preferences. We're happy to discuss options that work best for you while maintaining the high standard of care you've chosen.
Should you experience any challenges connecting or have questions about our technology, please reach out—we're here to make this process as straightforward as possible.
Termination of Services
We believe that open communication and trust are essential in our work together. If you ever feel that it’s time to discontinue therapy, we encourage you to bring it up in session so that we can discuss it and begin the transition process. This may take one or more sessions depending on your needs, and it allows us to honor the work we’ve done together and ensure a smooth transition.
We view endings as important transitions in the healing journey and will approach them with the same care as our beginning work together.
If your therapist believes that they are no longer able to meet your needs or if the work together no longer aligns with your goals, they will discuss this with you openly. When appropriate and if available, your therapist will recommend a referral to another professional. Your well-being is our top priority, and we will never make a decision about termination without involving you in the discussion and exploring all options together.
If you ever have concerns or would like to discuss your progress, we encourage you to bring them up in your sessions. We are here to collaborate with you and ensure that you are receiving the care you want and deserve.
